CITAC/ACCFC Privacy Policy

1.0 Purpose
1.1 The Clinician Investigator Trainee Association of Canada (CITAC/ACCFC) is committed to advancing the interests of its membership. The protection of individual privacy is a paramount consideration in the CITAC/ACCFC’s collection, use and disclosure of any personal information that has been provided to us.

2.0 Scope
2.1 Our obligations apply to all officers, employees, contractors and agents who provide services to or on behalf of the CITAC/ACCFC in connection with our delivery of products, services and information to our membership.

3.0 Definitions
3.1 Personal information: The CITAC/ACCFC considers "Personal information" to mean any information, recorded in any form, about an identified individual or an individual whose identity may be inferred or determined from such information, other than business contact information (e.g. name, title, business address, e-mail address, telephone and fax numbers).

4.0 Amendments
4.1 This policy may be subject to change.

5.0 Collection of Personal Information
5.1 CITAC/ACCFC shall not collect personal information from Users for the purpose of its website with the exception of the following:

  1. When such personal information provided to CITAC/ACCFC was done so on a voluntary basis;
  2. When such personal information is collected to monitor traffic to the website, including but not limited to an IP address; or
  3. When such personal information is collected to make decisions about and revisions to the website, including but not limited to any technical upgrades.

6.0 Use
6.1 CITAC/ACCFC shall only use personal information for purposes that would be considered reasonable in the circumstances and shall only use such information as is required for the purposes of providing services to and/or advocating on behalf of its members.

  1. CITAC/ACCFC shall only use this information to create and deliver content most relevant to users and to provide users with information about CITAC/ACCFC, its products, and its services. Information that is collected via member surveys and polls may be used for statistical purposes to determine the current demographics of clinician scientist trainees in Canada.

6.2 Any information provided by a user to CITAC/ACCFC via the website shall become the property of CITAC/ACCFC, including, but not limited to, information provided from member registration, surveys, or forms.
6.3 CITAC/ACCFC reserves the right to use information collected via the website, on an anonymous and aggregated basis, to measure the following:

  1. The interest in and use of the website; or
  2. To carry out analyses of information provided on a voluntary basis through the website or commissioned third party services

7.0 Disclosure
7.1 CITAC/ACCFC shall hold all personal information in confidence and shall not reveal same to anyone without express consent from the person whose personal information is held.
7.2 The above clause regarding consent to disclose is binding except for the following limited circumstances:

  1. CITAC/ACCFC may release the name, address, telephone number and email addresses of members to affiliated organizations, preferred suppliers, and other reputable organizations when:
    1. The CITAC/ACCFC has determined that said release constitutes a service to members; and
    2. There is a written agreement between the CITAC/ACCFC and the affiliated organization, preferred supplier, or reputable organization, whereby same agree to adhere to specific requirements regarding the use of the information in Clause 7
  2. The CITAC/ACCFC is required to disclose personal information without consent when:
    1. Required by law; or
    2. Required by Order from a Court, an Administrative Agency, or Governmental Tribunal
  3. The CITAC/ACCFC may disclose personal information without consent:
    1. Where the CITAC/ACCFC believes, upon reasonable grounds that it is necessary to disclose said information to protect the rights, privacy, safety, or property of an identifiable person or group;
    2. Where it is necessary to permit the CITAC/ACCFC to pursue available remedies or limit any damages that CITAC/ACCFC may sustain; or
    3. Where the information is public.

7.3 In situations outlined in Clause 7.1-7.2, the CITAC/ACCFC shall only disclose personal information to the extent required.
7.4 CITAC/ACCFC reserves the right to disclose analyses based on anonymous and aggregated data to third parties.

8.0 Accuracy and retention of personal information
8.1 Data is collected annually during the membership application and renewal process. Members can use the website, e-mail, and telephone and fax to update their information. Reminders to keep information accurate will be included in email broadcast messages and other member communications. Information about former members is not regularly updated unless the former member initiates contact regarding updated information.

9.0 Protection of Personal Information
9.1 The CITAC/ACCFC endeavours to maintain appropriate physical, procedural and technical safeguards with respect to its offices and information storage facilities so as to prevent any loss, misuse, unauthorized access, disclosure, or modification of Personal information. This also applies to our disposal or destruction of personal information. The CITAC/ACCFC further protects Personal information by restricting access to it to only those whom the management of the CITAC/ACCFC has determined need to know that information in order that we may provide our services, information and/or conduct our research. lf any third-party individual or organization misuses Personal information provided, this will be considered a serious issue for which action may be taken, up to and including termination of any agreement between the CITAC/ACCFC and the offending party.

10.0 Access to your personal information
10.1 In written request the CITAC/ACCFC permits individuals the reasonable right of access and review of his or her Personal information. Such requests will be fulfilled within a reasonable time. lf an individual identifies incorrect personal information in CITAC/ACCFC’s possession, CITAC/ACCFC will correct or delete that information in accordance with the individual's direction. Where information will not or cannot be disclosed, the individual making the request will be provided with the reasons for non-disclosure.
